Why Referral Marketing Beats Paid Ads

Cost per referral: $0 (participant does the selling). Conversion rate: 40-50% (referred participants are pre-qualified). Retention rate: Higher (they've heard positive stories). Value: Highest lifetime value participants (they're from trusted sources). Most providers' referral conversion is weak because they: (1) Don't ask for referrals systematically. (2) Don't make referrals easy. (3) Don't incentivize or recognize referrers. This guide fixes all three.

Step 1: Build a Referral-Ready Service (The Foundation)

Before asking for referrals, you need a service good enough to warrant them. Requirements: (1) Participant satisfaction at 85%+. If your satisfaction is below 85%, focus on service quality first (referrals will follow). (2) Support workers who are reliable and build rapport. Referrals come from great individual experiences, not just good service. (3) Clear communication with participants and families. They should know exactly how to refer. From our experience, providers with 90%+ satisfaction get 2-3x more referrals than those at 75%.

Step 2: Ask for Referrals Systematically

Timing: Ask after a positive milestone. Examples: (1) Month 3 of participation: 'Hey [participant], we've had such a great three months working together. Would you know of any other families who might benefit from our service? We'd love to help more people.' (2) After positive feedback: If a participant or family gives you positive feedback, say: 'Thanks so much. Actually, do you know anyone else we should be helping?' (3) Quarterly feedback call: During your quarterly check-in, ask: 'Are there any other families in your network who might benefit from our service?' Scripting: 'Hi [participant/family], I'm so glad we've been able to help [participant] achieve [specific goal]. I wanted to ask: do you know of any other families or coordinators who might benefit from our support? We love helping people like your family. If you think of anyone, just send them my way or give me a call and I'll handle the intro.' From our experience, 30-40% of asked participants or families will provide at least one referral per year. Step 3: Make Referral Easy

Provide a referral mechanism: (1) Referral card or flyer. 'Know someone who needs NDIS support? Refer them. [QR code to landing page]' (2) Email template. 'Here's a message you can send to people you know: [template]' (3) SMS link. Send a text: 'Know someone who needs support? Send them here: [short link]' (4) Verbal intro. 'Can I call them and mention your name?' Provide them with a script if needed. From our experience, providing a mechanism (QR code, email template, SMS link) increases referral follow-through by 50%.

Step 4: Incentivize Referrals (Optional But Powerful)

Non-monetary incentives: (1) Thank-you gift. Coffee gift card, small gift, handwritten thank-you note. (2) Recognition. 'Top referrer this month: [Family name]' in a monthly newsletter (if they're comfortable). (3) Service discount. '1 month free for every 3 referrals you send.' Monetary incentives (only if appropriate): Some providers offer $50-200 referral bonus per signed participant. This is effective but requires careful legal setup (make sure it complies with NDIS Code of Conduct). From our experience, monetary incentives increase referral volume by 30-40%, but non-monetary incentives (thank you note, gift) often feel more authentic.
